The World Federation of Hemophilia (WFH) is an international not-for-profit organization that provides global leadership to save an improve lives for people with hemophilia and other inherited bleeding disorders. Established in 1963, the WFH works with member organizations in 129 countries as well as through a network of international volunteers and healthcare providers to improve and sustain care and "Treatment For All" around the world.

The WFH is presently seeking an energetic, organized, detail-oriented Administrative Assistant to support the Humanitarian Aid team (n=3) and be responsible for all administrative support tasks related to the Department’s product donation activities, including minute taking, scheduling conference calls, creating travel agendas, and other related arrangements. He /she receives, redirects and/or responds to general inquiries and correspondence, and regularly communicates with Committees and volunteers.

Start date:               IMMEDIATE (January 3, 2018 entry)



DUTIES & RESPONSIBILITIES -

The Administrative Assistant - Humanitarian Aid department – CONTRACT, 6-12 months  accomplishes the following tasks:

  • Provide administrative support to Humanitarian Aid staff, including correspondence, data entry in Raiser’s Edge; preparing documents, reports and presentations; coordinating committee meetings and teleconference calls, and preparing minutes; maintain department calendar;
  • Assist department team with mailings to recipient countries;
  • Prepare letters in response to diverse individual requests;
  • Assist in facilitating the work of WFH Humanitarian Aid committee and its volunteer members;
  • Maintain registry of volunteers and coordinate all correspondence and services provided to WFH volunteers;
  • Act as Raiser’s Edge coordinator for Humanitarian Aid, centralizing and updating all humanitarian aid-related contact information in databases; liaise with IT team as required;
  • Coordinate central filing system (electronic and print) for the Humanitarian Aid department and ensure it is up to date;
  • Assist the Humanitarian Aid Officer with the operations of sending product donations, including general administration, follow-up, record keeping, tracking of shipments, reporting and compilation of results, auditing files;
  • Assist in following up with products recipients to submit reports on usage;
  • Assist the Humanitarian Aid Officer in preparing reports for committees and for products donors;
  • Accomplish other administrative management tasks: assisting with website updates, and expense reports and payment reconciliations;
  • Carry out any other related task relevant to the position as required by the Humanitarian Aid Director

 

QUALIFICATIONS and REQUIREMENTS

  • University degree (international development, political science, social sciences - an asset), plus 1-2 years (min.) of relevant work experience in an office environment, ideally with an international organization
  • Superior office administration and work management skills: details-oriented, organized, able to multi-task, work on several projects simultaneously
  • Strong abilities working with numbers;
  • Self-motivated, efficient, autonomous
  • Excellent interpersonal skills, with superior abilities to work with others in a team environment; sensitive to cross-cultural issues
  • High computer literacy, with extensive experience with Windows MS Office (Word, Excel, Power Point; also Outlook, internet); plus experience working with database software – eg., Raiser’s Edge an asset
  • Excellent oral and written communication skills;
  • Fully proficient in English (primary language of work); working knowledge of French and other international language -  an asset
  • Fluency in Spanish essential
  • Willingness and flexibility to undertake occasional international travel
